Creating Events
Events are the core of SalesCal - they represent the appointment types that prospects can book with you.
Creating a New Event
- Navigate to Events in the sidebar
- Click Create Event
- Fill in the required fields:
- Event Name: A clear, descriptive name (e.g., "30-Minute Discovery Call")
- Duration: How long the meeting will last
- Description: A brief explanation shown to prospects
Event Settings
Basic Settings
| Setting | Description |
|---|---|
| Name | The title displayed on your booking page |
| Slug | URL-friendly identifier, auto-generated from the name. Must be unique within your team. If the name produces a slug another event already uses, a number is added (e.g. discovery-call-2). To change it, publish the event and use the Customize URL button on the booking link, which checks availability as you type. |
| Duration | Meeting length in minutes (15, 30, 45, 60, etc.) |
| Description | Shown to prospects on the booking page |
Booking Window
Control when prospects can book:
| Setting | Description | Example |
|---|---|---|
| Minimum Notice | Earliest a prospect can book | 2 hours (can't book within 2 hours of now) |
| Maximum Advance | Furthest into the future | 30 days (can't book more than 30 days out) |
Location Settings
Choose how meetings will be conducted:
| Location Type | Description |
|---|---|
| Google Meet | Automatic meeting link (requires Google Calendar connection) |
| Zoom | Automatic Zoom meeting (requires Zoom connection) |
| Phone | You'll call the prospect at their provided number |
| Custom | Specify your own meeting instructions |
Event URL Structure
Each event has a unique booking URL:
https://yourdomain.com/book/[user-id]/[event-slug]Example: https://app.salescal.ai/book/abc123/discovery-call
For team events, the URL structure is:
https://yourdomain.com/b/[company-slug]/[event-slug]Because every member of a team shares the same [company-slug], event slugs are kept unique across the whole team. Two teammates can't end up with the same booking link, even if their events have the same name.
Duplicating Events
To create a similar event quickly:
- Go to the event you want to duplicate
- Click the ... menu
- Select Duplicate
- Modify the name and settings as needed
- Save the new event
Archiving Events
To remove an event from active use without deleting it:
- Go to the event details
- Click Archive Event
- The event will no longer accept bookings but historical data is preserved
To restore an archived event, find it in the archived events section and click Restore.
Deleting Events
Warning: Deleting an event is permanent and cannot be undone.
- Go to the event details
- Click Delete Event
- Confirm the deletion
Note: Existing meetings and leads associated with the event will be preserved but the booking link will stop working.
Best Practices
Event Naming
- Be specific: "30-Min Strategy Call" vs. "Call"
- Include duration if you have multiple similar events
- Use action words: "Discovery Session", "Product Demo"
Descriptions
- Keep it brief (2-3 sentences)
- Explain what the prospect will get from the call
- Set expectations about who should book
Duration
- Discovery calls: 15-30 minutes
- Strategy sessions: 45-60 minutes
- Demos: 30-45 minutes
- Consultations: 60+ minutes
